The Office Bulletin / Bwletin misol o Swyddfa’r Gymdeithas

At the beginning of this New Year, here is the first monthly bulletin from the
Office to inform the membership of new developments and provide updates
on some ongoing issues which we are addressing as a team at Bronaeron.
First – the Passport situation.
Following on from the busy, later in the season, Autumn sales period, the Office
are currently endeavouring to wade through the huge amount of registration
applications which were received in the last month prior to the November
30th deadline. The number received in that period was equal to the total
annual registration number for the Shetland Pony Society, and almost ten
times that of the Connemara Pony Society’s total.
Whilst this is good news on the revenue front it is problematic for a small
team in practice.
As a newcomer to the process I am shocked at how many applications are
either incomplete or have one or more queries attached, which cause a logjam
when processing. These are simple things which the breeder should
have addressed before submission. If you are a breeder please help the Society
and the Office staff by filling in the forms correctly.
The practice of submitting the registration form at the same time as the DNA
sample is sent to the laboratory, results in that registration application having
to wait for the DNA Profile record to return – which then delays the issue of
the passport.
We process in strict ‘date received’ order and apologise therefore to those
whose registration forms are correctly completed, but are waiting in the
queue. Thank you for your patience and understanding.
I am looking at ways to incentivise breeders to register their foals earlier in
the year so that we have a steady flow of submissions instead of the mass
influx in the days prior to the deadline.
We are keeping the Welsh Assembly Government informed as to our progress
and thank them for their understanding and support in this inaugural
year with the November deadline and no ‘grace’ period. A few members
have denied knowledge of the change of deadline – even though it specifically
states it on the registration form, and we have been highlighting the
change on the website and on Facebook!
During the coming months it will be a priority to streamline the flow of registration
applications so that we can manage the numbers received efficiently.
In order to facilitate this we are changing our system.
From now on each form will be checked for correctness on receipt at the Office
before acceptance. Any element which has not been filled, signed correctly
or where the required DNA profile or accompanying certificate is not
included, will result in that form being returned immediately to the breeder
for completion. We will only process correctly filled forms, thereby avoiding
the log-jam with queries attached.
What type of errors are prevalent? What slows down the process?
• Animal not named
• The animal’s name has already been used by the breeder
• The animal’s name includes somebody else’s prefix
• The mare is not in the ownership of the breeder at time of foaling
• No service certificate provided
• The stallion owner has not signed the certificate
• The breeder has not signed as the owner of the stallion
• There is no record of lease
• There is no DNA profile for the maiden mare
• The diagram has not been filled in
• The diagram does not correlate to the written description.
• The Vet has not signed or stamped the form in the correct section
• The fee is not included or payment has not been made online
• The breeder is not a current member.
I will update the membership of developments as the year progresses. I
should also stress that if any person has difficulties in completing the forms
the Office team are happy to help and guide you through the process.
Another aspect of our service which causes problems is the phone-system.
With only a small number of Office staff the volume of calls can sometimes
overwhelm the resources available. We already have in place the ‘limited
hours’ to receive calls between 10.00am and 4.00pm but it can seem that if
the staff designated to take calls are already engaged – that no-one answers
your call. I empathise that this must be very frustrating for you as a caller.
We shall shortly be introducing a call queuing system which will give members
an idea of where they are in the queue. This is at no extra cost to our
current service. The other option which we advocate that members use is to
email the office with your request or query at enquiries@wpcs.uk.com
Now – for the good news.
When I joined the Society, Council shared their worry about the unsupported
database which was in use. A previous potential supplier had not delivered
and the time frame suggested by a second provider left the Society vulnerable,
so it has been the priority to install a fit for purpose, supported and
backed up new database.
The database really is the ‘engine’ upon which the secretariat depends. It
holds the breed registration records, membership details, transfer records
and all information relevant to passports. Late in the autumn we sourced a
new service provider in preference to the one which had initially been approached.
The new database provider offered an ‘off the shelf licence’ which
was fit for purpose and in use by many other breed societies. I am delighted
to share that the new database is now safely installed which puts us on a
firm footing for the future.
The database is of course an internal tool and resource which ensures and
enables the smooth day to day running of the Society’s services. This is the
cornerstone to stabilising the Office processes. The installation of the database
is a one-off process, which thankfully we will not have to repeat, but it
has resulted in a great deal of extra work for the staff as we migrated the
data and trained to utilise the new system.
The changes at Bronaeron was compounded as well by an update to our office
software as the outgoing systems were no longer supported. The team at
the Office have been doing their very best in difficult circumstances.
Our turnaround on Transfers has kept pace with demand through the period.
Now for the best news
The one element of the new database which is outward facing, which the
membership can utilise and enjoy, is about to be re-launched.
The Online Pedigree service will soon be available again via the Society’s
website. I personally have missed this facility like many other members and
am confident that it offers an enhanced benefit to members, and will be
something that we can develop in the future to offer further options.
It includes a Five generation pedigree where you can ‘click through’ to the
profile of any animal in those five generations. Therefore, it is possible to
move from one screen to another and trace the pedigree back as far as it is
recorded. It also offers a dropdown of the progeny of each animal listed
again where you can ‘click through’ onto any of the progeny’s profiles.
A database is only as good as the inputted data, and to that end the recording
in recent years of the major show results, enables the viewing of an animals
individual show record. As time progresses the inputting of show results
annually will create a rich resource for the future.
These facets were only available on the previous Online service if you registered
and used a password. The new Online Pedigrees are completely
free to air and available to browse at your leisure. I am also confident that it
will promote the importance of bloodlines and pedigrees in the Society’s
work.
The 2020 WPCS Journal Editorial team of Trustees have been busy and it is
about to go to print. There are a variety of great articles to read and the
standard of photography is better than ever. Those photographers; be they
professional or amateur who capture images of our wonderful breed, contribute
immensely to the recording of history whilst providing enjoyment to
the reader and we thank them for this valuable gift.
Now that the database is in place, I will turn my attention to the Society
Website and would welcome any comments or requests which you would
like us to consider as we review it’s content, navigation and functionality.

We have already drawn up a plan of attack and will implement this over the
next few months. The website will remain ‘live’ as far as is possible so as not
to cause too much disruption, however it may be necessary to take it down
temporarily for short periods of time. I will endeavour to inform the membership
of those occasions whenever possible.
I am aware that this January bulletin is long and intend to produce shorter
monthly updates as the year progresses. In the meantime please keep
watching the Society’s Facebook page and Website for news of the forthcoming
AGM, and announcements about our New Young Ambassador for
2020 – 21 and the next Stud book.
If you’re a breeder with a maiden mare foaling for the first time in 2020 – why
not DNA profile her now? so that your registration form will fly through the
process, rather than create a delay at the Office as we wait for the result to
come back from the laboratory.
As illustrated above the Office staff have been working hard to level the ship
and will continue to do so on behalf of the membership. I would like to thank
them for pulling together during the period.

Ar gychwyn Blwyddyn Newydd dyma’r cynta o fwletinau misol ar rhan
swyddfa’r Gymdeithas. Y bwriad yw rhannu newyddion gyda’r aelodaeth
am ddatblygiadau newydd, a chyfle i ddiweddaru gwybodaeth am
bynciau a sialensau sy’n ein wynebu ym Mronaeron..
I gychwyn – sefyllfa y gwasanaeth pasbort.
Yn dilyn Hydre prysur tu hwnt a chyfnod yr arwerthiannau mae’r Swyddfa ar
hyn o bryd yn gweithio yn galed i ddelio gyda’r nifer enfawr o geisiadau i gofrestru
a dderbyniwyd yn y mis hyd at dyddiad cau 30 Tachwedd.
Derbyniwyd cymaint o geisiadau mewn mis ac mae’r Gymdeithas brid Shetland
yn derbyn mewn blyddyn gyfan, a hyd at ddeng gwaith mwy na mae’r
Gymdeithas Connemara yn derbyn fel cyfanswm blynyddol.
Tra bo hyn yn newydd da yn fasnachol , mae’n creu problemau dirfawr i dîm
bach sy’n ei weinyddu.
Fel newydd-ddyfodiad i’r broses dwi wedi fy synnu yn fawr a’n siomi gan y
nifer o geisiadau sydd unai yn anghyflawn neu yn wallus, neu sydd a chwestiynnau
ynghlwm – a hyn sy’n achosi’r oedi yn y swyddfa.
Mae’r elfennau yma yn bethau syml ddylai y bridiwr fod wedi eu datrys a’i
hateb cyn gyrru’r ffurflen atom. Os ydych chi yn bridio a chofrestru dwi’n holi
yn garedig i chi helpu’r Swyddfa a’r Gymdeithas drwy lenwi’r ffurflenni yn gywir.
Mae’r arfer o yrru’r ffurflen gofrestru ar yr un adeg mae’r sampl DNA yn cael
ei yrru i’r labordy yn golygu oedi yn Swyddfa’r Gymdeithas wrth i ni orfod
aros i ‘broffil’ y gaseg gael ei ddychwelyd atom, sydd wedyn yn creu oedi
pellach cyn prosesu’r pasbort.
Rydym yn prosesu’r ceisiadau cofrestru yn ôl y ‘dyddiad derbyn’ ac rydym
yn ymddiheuro i’r rheiny ohonoch sydd wedi cyfleu ffurflenni cofrestru sy
wedi eu cwblhau yn gywir, ond sy’n aros yn y ciw. Ry’n ni’n diolch i chi am
eich amynedd a’ch cefnogaeth.
Rwy’n chwilio am ffyrdd i ysgogi bridwyr i gofrestru eu hebolion yn gynharach
yn y flwyddyn i sicrhau llif cymhedrol o ffurflenni yn hytrach na’r don enfawr
sy’n arfer cyrraedd cyn y dyddiad cau.
Rydym mewn cysylltiad cyson gyda Llywodraeth Cymru ac yn eu hysbysu o’r
datblygiadau, a rydym yn diolch iddyn nhw am eu cefnogaeth a’i dealltwriaeth
o’r sefyllfa anodd eleni yn y flwyddyn gyflawn gyntaf ers tynhau’r dyddiad cau
i ddiwedd Tachwedd – heb gyfnod o ras hyd at ddiwedd y flwyddyn.

fel ein bod yn medru rheoli’r niferoedd yn effeithiol. Er mwyn hwyluso a
sicrhau hynny rydym yn newid ein sustemau.
O hyn ymlaen mi fydd pob ffurflen yn cael ei tsiecio wrth gyrraedd y Swyddfa
cyn ei derbyn. Os oes unhryw elfen ohoni yn anghyflawn, neu heb ei harwyddo;
neu lle mae angen proffil DNA neu Dystysgrif i gyd-fynd â’r ffurflen
byddwn yn ei dychwelyd hi yn syth at y bridiiwr i’w chwblhau. Dim ond
ffurflenni sydd wedi eu llenwi yn gywir byddwn yn eu prosesu a thrwy hynny
yn osgoi yr oedi annerbyniol yma.

Pan ymunais gynta â’r Gymdeithas rhanodd y Cyngor eu gofid â mi am sefyllfa
fregus bas-data’r Gymdeithas. Bellach doedd dim cefnogaeth technegol
iddo. Roedd un darparwr newydd wedi methu cyfleu a roedd yr un arall o
dan ystyriaeth yn methu cynnig amserlen derbyniol i osod sustem newydd.
Roedd hyn yn gadael y Gymdeithas mewn sefyllfa anodd. Felly rwy wedi
blaenoriaethu i ganfod bas-data sy’n addas i bwrpas, gyda chefnogaeth
technegol a sy’n cael ei facio.
Bas-data’r Gymdeithas yw’r injan sy’n gyrru holl weithgareddau’r Swyddfa –

Un elfen o’r bas-data sy’n wynebu’r cyhoedd – a ma hwnnw yn un mae’r

wedyn ‘clicio drwodd ‘ i broffil unrhyw un o ddisgynyddion y gaseg neu’r
march.
Mae’n bwysig nodi fod pob bas-data yn gwbl ddibynnol ar y data sy’n cael ei
fewnbynnu ag at y perwyl hynny mae’r canlyniadau Sioeau sydd eisioes wedi
eu cofnodi yn adnodd bydd yn tyfu i fod yn werthfawr iawn yn y dyfodol.
Roedd yr elfennau yma ond ar gael ar y gwasanaeth blaenorol os oeddech
yn mewngofnodi ac yn defnyddio arwyddair. Mae’r Gwasanaeth Pedigir arlein
newydd ar gael am ddim i bawb fedru ei chwilio a’i fwynhau. Rwy’n ffydiog
bydd hyn yn hyrwyddo pwysigrwydd llinach a gwerth pedigri yng ngwaith
y Gymdeithas,
Mae’r tîm o Ymddiriedolwyr sy’n creu’r “Journal Gwyrdd’ wedi bod wrthi yn
ddygn ac mae’r gyfrol ar fin mynd i brint. Mae amrywiaeth o erthyglau difyr
i’w darllen ac mae safon y lluniau yn well nag erioed. Mae ein diolch yn fawr
i’r Ffotograffwyr hynny boed yn broffesiynol neu’n amatur am eu gwaith
caled wrth gipio delweddau ein brid. Mae eu cyfraniad i archif a hanes y
Gymdeithas a’r stoc yn arbennig, tra’n cynnig boddhad i’r darllenydd yn
ogystal.
Nawr bod y bas-data yn ei le mi fyddaf yn rhoi fy sylw i Wefan y Gymdeithas,
ac mi fyddwn yn croesawu unrhyw sylwadau neu argymhellion yr hoffech i ni
eu hysyried wrth adolygu’r cynnwys, y llwybrau a’i defnyddioldeb.
